HR and Admin Executive

This role involves coordinating meetings, overseeing the interview process, and managing office operations. Responsibilities include handling bill payments, maintaining utilities and supplies, managing contracts, and negotiating with suppliers. The position also supports the management team, maintains communication with government offices, and tracks attendance records.

Responsibilities

  • Oversee the interview process and ensure smooth operations
  • Foster and maintain employee engagement and a positive work environment
  • Supervise and manage administrative activities to ensure efficient office operations
  • Handle monthly bill payments, including Social Security Board (SSB) payments, and manage contracts, and Subscriptions such as UMFCCI
  • Manage office utilities, including water, electricity, and phone, internet, and office software
  • Maintain inventory and manage the purchasing of office supplies as needed
  • Lead the negotiation process with suppliers to ensure the best quality, most competitive pricing, and optimal delivery timelines. Collect at least three quotations for comparison
  • Coordinate and arrange meetings with candidates and internal teams
  • Additional tasks assigned by Management

Must Have

  • Prefer having diploma or degree in related field
  • Strong team player with the ability to work collaboratively in a fast-paced environment.
  •  Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Intermediate proficiency in English (both written and verbal communication).
  • Competent in using email for professional correspondence.

Nice to have

  • Experience in communicating with government offices for work-related matters
  • Ability to handle various tasks simultaneously in a fast-paced environment
  • Strong Communication Skill
  • Familiarity with recruitment processes and employee engagement strategies
